General Settings
General settings are the foundation of your system. Various aspects in the CRM, including automation, workflows, templates, all steam from these settings, and you'll make your job much easier if you complete the entire setup before adding users.


Many companies overlook these and jump straight into adding users and customizing the system. Set these initially, so you don't have to think about them in the future but, don't forget to monitor and update them as your company changes.


General Setup consists of Personal Settings such as user contact info, profile picture, and email signature. Company Details consist of the Fiscal Year, Business Hours, Currencies, and more. Each user will set up personal settings, and the system administrator will manage the company details.


Personal Settings

Personal Settings will need to be updated by each user when they initially log in. These settings include the users' contact information (email and even social media handles), locale information, and email signature.


These settings help identify all your users, add them to the correct working shifts when needed, and use dynamic fields, and autofill their contact info and email into the template.


How to Update Personal Settings

By default, the mandatory information such as first and last name, email, Role, profile, and territory (if applicable) will automatically update. After logging in, it's recommended that the user enter all details.


  1. Log in to Zoho CRM
  2. Go to SetupGeneralPersonal Settings
  3. Click the Edit icon for the section (1-6) you wish to modify:

  1. Alias
  2. Phone
  3. Mobile
  4. Website
  5. Fax
  6. Date of Birth
  7. Address (Street, City, State, Zip)
  1. Social Profiles
  2. Locale Information
  1. Language
  2. County Locale
  3. Date Format 
  4. Time Format
  5. Time Zone
  1. Signature
  2. Display Name & Format
  3. Themes
  1. Click Save after each section

Passwords and Security Questions

The security of your system should always be a top priority. When you're handling important information like customer data, the company's annual revenue, stakeholder's details, you must take preventive measures to secure your accounts from unauthorized access.


User security begins with passwords and security questions; as an added benefit, Zoho provides Single Sign-on service. If you change your password for Zoho CRM, it will change for all other subscribed Zoho Accounts (i.e., Zoho Campaigns, Zoho Books, or Zoho One). You cannot change the password of other users. 


Zoho lets you create security questions on your first login. You can use these questions to retrieve the password; it can be modified whenever needed. The security question is applicable for all the Zoho Services. The security question can be changed whenever required, and it can be used to retrieve the password.

  1. Click your Profile Image My Account (The system will likely ask you to confirm your password; if you have forgotten your password, click Forgot Password.)
  2. On the Zoho Accounts page, click Security
  3. In the Passwords page, click Change Passwordenter Current Password and New Password
  4. Click Save 


How to Reset Password

  1. From the Zoho CRM sign-in page, click Forgot Password. The system will redirect you to the Zoho Accounts page.
  2. From the Zoho Accounts page:
  1. Email: Specify the registered Email as mentioned in the Account information.
  2. Image Text: Enter the captcha code.
  3. Click RequestThe system will send an automated email to your Email.
  4. Click the link "here" in the email; you will be redirected to the Zoho Accounts Password Reset page.
  5. On the Password Reset page, enter your New Password.
  6. Click Change - The New password gets updated and should be used to sign in to all Zoho Services.

How to Create Security Questions


  1. Click your Profile Image My Account (The system will likely ask you to confirm your password. If you have forgotten your password, click Forgot Password.)
  2. On the Zoho Accounts page, click Security
  3. On the Passwords page, click Security Questions; on the Security question page, specify the Current PasswordSecurity Questionand the corresponding Answer.
  4. Click Save. The security question gets updated and applicable for all Zoho Service
